Office and Executive Coordinator
About the role
As the Office and Executive Coordinator, you’ll be the cornerstone in ensuring the efficient day-to-day operations of the office while also serving as a reliable assistant to the executive team. You’ll handle a wide variety of tasks, ranging from office management to high-level executive support, making this role ideal for someone who thrives in a fast-paced, multitasking environment. Your ability to prioritize, problem-solve, and maintain professionalism will be key to your success in this role.
Key Responsibilities
Office Management:
- Oversee office operations, ensuring the workspace is organized, stocked with supplies, and running efficiently.
- Manage relationships with vendors, ensuring timely delivery of office supplies and services.
- Coordinate facility maintenance, repairs, and office-related projects.
- Serve as the primary point of contact for internal staff and external visitors, ensuring a welcoming and professional environment.
Executive Support: - Provide comprehensive support to the executive team, including calendar management, meeting coordination, and travel arrangements.
- Assist with the preparation of reports, presentations, and other documents for executive-level meetings.
- Handle confidential information with discretion and ensure seamless communication between executives and internal/external stakeholders.
- Coordinate logistics for high-level meetings, including scheduling, catering, and room setup.
Event Planning: - Organize and execute company events, both small and large-scale, such as team meetings, holiday parties, and offsite retreats.
- Collaborate with team members across departments to ensure smooth execution of events.
Administrative Support: - Assist with general administrative tasks such as data entry, expense reports, and invoice management.
- Support the HR team with onboarding new hires and other people-related tasks as needed.

- Adaptable: You thrive in dynamic environments and are comfortable navigating ambiguity.
Requirements
- Minimum of 2 years’ experience in office management, executive support, or a similar role.
- Bachelor’s degree preferred but not required; equivalent experience is valued.
- Strong proficiency in office tools such as Microsoft Office Suite
- Proven ability to handle confidential information with discretion.
- Experience coordinating events and managing multiple stakeholders.
- Ability to work independently with minimal supervision while being an active contributor to the team.
